Terms & Conditions

These Terms & Conditions govern every booking made with Shyam Sarthi Travels. By requesting a quotation, confirming a reservation, making payment, boarding a vehicle or using any of our travel services, you acknowledge that you have read, understood and agreed to these terms. These conditions exist to ensure transparency, passenger safety, fair pricing and a smooth travel experience for every customer.

Acceptance Of These Terms

These Terms & Conditions apply to every service provided by Shyam Sarthi Travels including local taxi bookings, airport transfers, railway station pickups, one way journeys, round trips, outstation travel, corporate transportation, wedding transportation, tempo traveller bookings, luxury bus rentals and any additional transportation service offered by the company.

By confirming a booking through telephone, WhatsApp, email, website enquiry form or any other communication channel, you agree to comply with these terms. If you do not agree with any part of these conditions, you should not proceed with the booking.

These terms are intended to create a transparent relationship between the company and every passenger by clearly defining responsibilities, payment obligations, cancellation rules and operational procedures before travel begins.

Definitions

Company

"Company", "we", "our" and "us" refer to Shyam Sarthi Travels and its authorised representatives responsible for providing transportation services.

Customer

"Customer", "passenger", "client" or "you" means any individual, family, organisation or business making a booking or travelling in a vehicle arranged by the company.

Booking

A booking means any confirmed reservation for transportation after acceptance by the company through verbal confirmation, written confirmation or payment.

Vehicle

Vehicle includes taxis, sedans, SUVs, premium cars, tempo travellers, minibuses and luxury buses arranged by the company.

Scope Of Services

Shyam Sarthi Travels provides transportation solutions for personal, family, business and group travel. Services may include local travel within the city, airport transfers, railway station pickups and drops, intercity travel, outstation tours, employee transportation, event transportation and customised travel requirements depending upon vehicle availability.

The company reserves the right to accept or decline any booking where operational, legal or safety considerations make it impractical to provide service.

Availability of a particular vehicle model, seating configuration or driver cannot always be guaranteed. Equivalent or upgraded vehicles may be provided whenever operationally necessary without affecting the overall purpose of the booking.

Booking Confirmation

A booking request does not automatically create a confirmed reservation. Confirmation is issued only after availability has been verified and accepted by the company.

Customers should provide accurate information including travel date, pickup address, reporting time, destination, passenger count, luggage requirements and contact information. Incorrect information may result in delays, additional charges or cancellation where service cannot reasonably be provided.

Customers are encouraged to review all booking details immediately after confirmation. Any required corrections should be communicated as early as possible.

Important: Travel schedules depend upon the accuracy of information supplied during booking. Incorrect pickup locations, wrong travel dates or inaccurate contact numbers may affect service quality.

Pricing And Fare Structure

Pricing is determined using factors such as travel distance, travel duration, vehicle category, route, toll roads, state taxes, parking fees, waiting time, seasonal demand and any additional requirements requested by the customer.

Quotations provided before booking are based upon the information available at that time. If the customer later changes the itinerary, travel duration, destinations or vehicle requirements, revised pricing may apply.

Certain government taxes, toll charges, interstate permits, airport parking fees or other statutory charges may be charged separately wherever applicable unless specifically included in the quotation.

Payment Terms

Depending upon the nature of the booking, the company may require advance payment, partial advance or full payment before commencement of travel.

Corporate clients operating under approved billing arrangements may receive invoices according to mutually agreed payment schedules.

Outstanding balances must be cleared immediately upon completion of travel unless otherwise agreed in writing. Failure to complete payment may result in suspension of future booking privileges.

Any bank charges, payment gateway fees or transaction costs imposed by third-party financial institutions shall remain the responsibility of the customer wherever applicable.

Vehicle Allocation

Vehicle allocation depends upon operational availability at the time of dispatch. While every reasonable effort is made to provide the requested vehicle category, identical model, colour, registration number or manufacturing year cannot be guaranteed.

In exceptional situations involving mechanical failure, accidents, severe weather, road closures or other unforeseen circumstances, the company may substitute another suitable vehicle to minimise disruption to the customer's travel plans.

Replacement vehicles shall be selected to provide comparable seating capacity and operational suitability whenever reasonably possible.

Vehicle Usage Rules

  • Passengers must use the vehicle only for lawful purposes.
  • Vehicle seating capacity must never be exceeded.
  • Hazardous, explosive or prohibited materials must not be carried.
  • Passengers must follow driver safety instructions throughout the journey.
  • Children should travel under adult supervision.
  • Seat belts should be used whenever available.
  • Passengers should ensure personal belongings are collected before leaving the vehicle.

Passenger Conduct

Every passenger is expected to behave respectfully towards drivers, support staff and fellow travellers. Abusive behaviour, threats, violence, illegal activities, intoxication resulting in unsafe behaviour or deliberate damage to the vehicle may result in immediate termination of the journey without refund where legally permissible.

Passengers remain responsible for any damage caused intentionally or through negligence during the course of the journey. Repair costs, cleaning expenses or compensation arising from such damage may be recovered from the responsible passenger.

The company reserves the right to refuse service where passenger behaviour creates a genuine safety concern for the driver, other passengers or the vehicle itself.

Customer Responsibilities

Customers are responsible for ensuring that all booking information provided at the time of reservation is complete and accurate. This includes the passenger name, contact number, pickup address, destination, reporting time and any special travel requirements. Incorrect or incomplete information may result in delays or an inability to provide the requested service.

Customers should remain available on the registered contact number before and during the scheduled pickup time. If our driver or booking team is unable to contact the customer because of incorrect contact details or repeated unanswered calls, the booking may be treated as a no-show after reasonable waiting time.

Passengers are expected to arrive at the pickup point before the scheduled departure time. Any delay caused by the passenger may reduce the available travel time or attract waiting charges wherever applicable.

Driver Responsibilities

Every driver assigned by Shyam Sarthi Travels is expected to perform duties professionally, safely and courteously. Drivers are instructed to follow traffic regulations, maintain professional behaviour and operate the vehicle responsibly throughout the journey.

Drivers may refuse requests that violate traffic laws, exceed permitted passenger capacity or compromise road safety. Customers are requested to cooperate with reasonable instructions given by the driver for everyone's safety.

Drivers are not authorised to modify confirmed fares, negotiate separate pricing or accept instructions that contradict company policies without approval from the booking office.

Waiting Time

Complimentary waiting time may be available for certain categories of bookings. Once the complimentary period has expired, additional waiting charges may apply depending upon the vehicle category and booking type.

Airport and railway station pickups may include reasonable waiting time to accommodate expected arrival procedures. However, unusually long delays resulting from passenger requests, itinerary changes or circumstances outside normal operations may attract additional charges.

Customers should immediately notify the company if they expect significant delays so that suitable arrangements can be made wherever reasonably possible.

Route Changes And Additional Stops

Travel routes are generally planned according to the confirmed booking details. Requests for additional destinations, extended waiting periods, detours or major itinerary changes after commencement of travel may result in revised pricing.

Drivers may refuse route changes that are unsafe, unlawful or operationally impractical. Any revised charges arising from approved changes should be settled before completion of the journey unless otherwise agreed.

Please Note: Additional kilometres, extra destinations and extended travel hours are generally chargeable because they directly affect fuel consumption, driver duty hours and vehicle utilisation.

Luggage Policy

Passengers are responsible for selecting an appropriate vehicle based upon the amount of luggage they intend to carry. Excess baggage beyond the safe carrying capacity of the selected vehicle may require a larger vehicle or additional transport arrangements at extra cost.

Fragile, valuable or confidential items should remain under the passenger's supervision throughout the journey. While reasonable care is taken, the company cannot guarantee protection against accidental damage arising from unsuitable packing or handling by the passenger.

Drivers may refuse transportation of hazardous, illegal or excessively heavy goods that could damage the vehicle or violate applicable law.

Children And Senior Citizens

Children should always travel under the supervision of a responsible adult unless special arrangements have been agreed in advance. Parents or guardians remain responsible for ensuring the safety and conduct of accompanying minors during the journey.

Elderly passengers requiring additional boarding or mobility assistance should inform the company at the time of booking so that suitable arrangements may be planned wherever reasonably possible.

Travelling With Pets

Transportation of pets may be permitted only with prior approval. Customers should inform the company before booking if any animal will accompany the journey.

Customers remain responsible for the behaviour, hygiene and safety of their pets throughout the trip. Appropriate carriers, restraints or protective equipment may be required depending upon the animal and vehicle type.

Smoking, Alcohol And Prohibited Activities

  • Smoking inside company vehicles is prohibited.
  • Consumption of illegal drugs is strictly prohibited.
  • Passengers must not carry prohibited weapons or unlawful substances.
  • Activities that distract the driver or compromise road safety are not permitted.
  • Damage caused due to smoking, alcohol spills or deliberate misuse may attract cleaning or repair charges.

Mechanical Breakdown And Operational Interruptions

Every reasonable effort is made to maintain vehicles in excellent operating condition. However, mechanical failures, tyre punctures, accidents, traffic restrictions or natural events may occasionally interrupt scheduled travel despite regular maintenance.

Where reasonably practicable, the company will arrange an alternative vehicle or provide appropriate operational assistance to minimise inconvenience. Replacement arrangements remain subject to availability and prevailing local conditions.

Temporary delays arising from circumstances genuinely beyond the company's reasonable control shall not automatically constitute breach of these Terms & Conditions.

Cancellation Policy

Booking cancellations should be communicated as early as possible through the same communication channel used for the reservation or through any official contact method published by Shyam Sarthi Travels. Early notice enables us to manage vehicle allocation efficiently and minimise inconvenience to other customers.

Cancellation charges, if applicable, shall depend upon the type of booking, vehicle category, travel date, advance notice provided and expenses already incurred for the booking. Failure to report at the pickup location without prior notice may be treated as a no-show booking, in which case applicable cancellation or operational charges may apply.

Force Majeure

The company shall not be held responsible for delays, interruptions or inability to provide services resulting from events beyond its reasonable control. Such events include but are not limited to natural disasters, floods, heavy rainfall, earthquakes, political disturbances, civil unrest, strikes, road closures, government restrictions, accidents, public emergencies, fuel shortages or other extraordinary circumstances.

In such situations every reasonable effort will be made to minimise disruption and provide suitable assistance wherever operationally possible.

Limitation Of Liability

While Shyam Sarthi Travels makes every reasonable effort to provide safe, punctual and dependable transportation services, the company cannot guarantee uninterrupted travel under every circumstance. Estimated arrival times are indicative only and may change due to traffic, weather conditions, road diversions, law enforcement activity or other operational factors beyond our reasonable control.

The company shall not be liable for indirect, incidental or consequential losses including missed flights, missed trains, missed meetings, business losses or similar claims arising from circumstances outside its reasonable control.

Nothing contained in these Terms & Conditions limits any legal rights available to customers under applicable law.

Lost And Found Property

Customers are requested to check the vehicle carefully before completing their journey. Any item left behind should be reported immediately with complete travel details so that reasonable efforts can be made to locate the property.

Items recovered from vehicles will be handled with reasonable care; however, the company cannot guarantee recovery of every misplaced article. Collection or delivery of recovered property may require the customer to bear any applicable transportation or courier expenses.

Privacy And Customer Information

Personal information collected during booking is used only for providing transportation services, customer communication, operational management, billing, legal compliance and service improvement. Information is handled responsibly and is not sold to unrelated third parties for marketing purposes.

Changes To These Terms

Shyam Sarthi Travels reserves the right to revise, update or modify these Terms & Conditions whenever necessary to reflect operational improvements, legal requirements or service changes. Governing Law And Jurisdiction

These Terms & Conditions shall be governed by the laws of India. Any dispute arising in connection with the services provided by Shyam Sarthi Travels shall be subject to the jurisdiction of the competent courts having authority over the company's principal place of business, unless otherwise required by applicable law.
